Working with Workflows

Create a review process to follow when creating new content to ensure full approval before release

With Circuit Workflows you can define tasks that need to be completed in a certain order, and assign that order to your content in the CMS. This can be used to ensure that content created by your team has had full approval before release.

Here is an example of a workflow you could create:

Submit for Text Entry > Submit for Review > Submit for Manager Approval > Publish

Create a Workflow

First, from the left navigation go to Settings > Workflows.

Then click Add a Workflow.

Name your Workflow

You can name your workflow however you like, but the best one would be one that helps your team understand the context of what they are submitting content for.

  1. Is this a workflow you would like to use for all content going forward? ie. "Moderation" or "Review."

  2. Or would this workflow be for a specific set of content? ie. "Summer Virtual Tour Update."

Set up the Steps or Tasks for your Workflow

Click the + Add button and then Choose a Task. You can create a new task or choose from a list of existing tasks you've created before.

Then, choose which groups or users will be prompted to moderate or approve the submitted content and click Create.

You can click the + Add button again to add another step. It can be as simple as 1 step or you can set up a multi-step review process which is useful if you need more eyes on the content along the way.

Assign your Workflow to Pages

Click Choose a Page and select which page you would like in the workflow.

Workflows apply to child pages too. If you select a parent page here, its child pages will also use this workflow.

See What Content is at What Stage, What Needs Approval

On your main dashboard, you will see a list of "Your pages and snippets in a workflow" and if you are tagged to approve any content you will also see a list "Awaiting your review."

From here you can click on the actions button with three dots and request changes, approve, approve with a comment, edit, or preview the content.

And that's it! Your workflow is set up and ready to work with.
